Invoicing

This is the default opening window of the myMoney Suite. We will first address Invoice Settings, notice where the mouse pointer is at "Invoice Settings", clicking that gear button

will take you into the next three sections, show below. Click here for an annotated image of the invoicing screen

Invoice Settings

        

                               Customer List

  Here you have ability to show or not show inactive customers

                                     Options 

Disable/enable price changing. Show expanded information during product search. Default print quantity. Choosing installed printers. Only check "Use compact invoices" only if you have a receipt printer. Cash drawer configuration.

                            Account Defaults

       Management of how your accounts are due

To make a sale, you would click the icon Image:InvoicingProductInfoIcon.pngthen in the search bar type your description
select from the drop down list as shown, and press enter or click search. If you have bar codes added to your product line
use your scanner. Click here for more information on how the Product Search works.

Invoice Codes

Show below in the example are invoice codes for a sale.

  • Blank is a sale
  • Bp is backorder/paid - this will charge the customer's account and place the item in the customer's Backorders list.
  • Bu is back order/unpaid - this will not charge the customer's account; it will also place the item in the Backorder's list.
  • Bd is backorder/delivery - this completes a Backorder process. Completing an invoice with a Bd code will not charge the customer's account. It will assume the charges were made on a previous invoice, which will be noted if the Bd is created from an existing Bp or Bu.
  • R is return
  • WL is a Wish List

If you want to remove a line item from the invoice, you would just click the Red dot Image:Removeicon.png at the beginning of the line shown below.
Shown on the right for part number 10003 are the details including retail and list price, the OH on hand quantity and W
warehouse quantity with a BO back order quantity.
The icon to the right of BO back order Image:EditQuantityIcon.pngis the Edit Quantity for back orders.



Invoice Icons Explained

The next several sections will show you the various icons in the invoicing area with their explanations.


Product Icon Pricing

The Icon Image:InvoicePricingIcon.png Pricing when clicking on it will allow to you to quickly, modify details of the product
item you are selected on, just as in the product section of the program . This will open the window shown to the
right, 

Here you can change Suppliers, change/ add a List Price, or add/change a Promotional Price. Click Save/Cancel when done.
Also while in Pricing maintenance you can switch to either of the two other Icon's shown at the top left to move to those
sections as well. Inventory maintenance > Image:InvoiceInventoryIcon.png and or Product maintenance >Image:InvoicingProductInfoIcon.png these are explained below.



Product Icon Inventory

The Icon Image:InvoiceInventoryIcon.png Inventory when clicking on it will allow to you modify/view details of the product
item you are selected on, just as in the product section of the program .


Here you will be able to check your on hand quantity and  warehouse quantity, view/change your Auto-Reorder, add a
Purchase order and view any open purchase orders.
Also while in Inventory maintenance you can switch to either of the two other Icon's shown at the top left to move to those
sections as well. Pricing maintenance Image:InvoicePricingIcon.png or Product maintenance Image:InvoicingProductInfoIcon.png these are explained below.

Product Icon Product Info

The Icon Image:InvoicingProductInfoIcon.png Product will take you into product maintenance of the selected item while
you are in the invoice.




Which will allow you to check or change the Life Cycle, Description, Details such as manufacturer, Classification, you can
modify weather it will be Rentable, Repairable or Returnable. Add or view Notes, change or add Suppliers, or set or change
the Rentalble Rate.
Also while in Product maintenance you can switch to the other maintenance sections while in here, the Inventory
Image:InvoiceInventoryIcon.png or Pricing maintenance Image:InvoicePricingIcon.png



Product Icon Extended Action

The Icon Image:ExtendedActionIcon.png Extended Actions will allow backorder options to your invoice
or adding an item as a wish list for possible future ordering. Notice the examples shown below

Clicking this will add line code Bp                                   Adds it to a WishList not a sale.                           Clicking this will add line code Bu



Vendor Quantities

Vendor Quantities will only show on product items if you have a EDI supplier. When you click on the icon
it displays the available inventory your vendor has on hand.

Making A Quote

To make a quote you click the Add a Quote icon Image:AddIcon.png at the top of the invoicing page, and begin typing in the Search area
and press enter, double click your part number to add it to the quote. As shown in the lower right the program will calculate
the amount of weeks for the payoff of the quote based the customer balance and the way you have the terms setup.


More Than One Quote

If you have more than one quote you can use the F2 key to cycle between them or just click one of the quote icons to put it into view.
To delete a quote select the icon and click the red remove icon Image:Removeicon.png
To change a quote to a invoice click the button Image:AddtoInvoiceButton.png
To complete empty a quote of all items added to it click the Image:ClearButton.png

Selling a Service

To begin a service select your customer in the invoicing section of the program you can press the hot key F6 or click the Services icon Image:LookUpServices.png as shown.

This is your service search area you may just press the enter key or beging typing a service description or just click the search icon.



Double click the service you wish to add to the invoice as shown. Type any notes or comments in the lower left of the invoice, and
click on collections if you are going to collect on the service at this time, then click the Image:CompleteButtonII.png button to print.
To remove the service item and start over click the Image:ClearButton.png button.



Customer Wish List

When clicking the wish list Image:CustomerWishlistIcon.png icon it may show as no wish list items as shown, if true, other wise
it will display the items on his wishlist when clicking in the search box as shown below to the right

Customer Rentals

it will display the items on rental when clicking in the search box as shown below to the right
