Submitting an order from Suite to Manager step by step
Suite:
1. Generate an order in Purchasing > Pending Purchases
2. Click on Open Orders. Select the “Created” order, edit if necessary and click Submit to Manager. Status goes to “Ordered”.
3. On the next Sync, the order will be sent Manager.
Manager:
1. Menu > Order Processing > Purchase Orders
2. Double click on the PO under the Licensee's name. There will be a list of items from that user's PO
3. You may click on Auto Fill to match all the Reserved values with the Ordered quantities.
4. Click Generate Picks, that order is removed from Purchase Orders and goes to Pick Lists > Waiting to Pick
Suite:
1. If you Sync, the order shows as “Processed” in Purchasing.
Manager:
1. Go to Pick Lists. Click on the Pick List under "Waiting To Pick". Enter the Pckd value, or click Auto Fill, and click Complete Picks
2. That PO goes to Pick Completed. Click on the order under Pick Completed
3. Click Ship Picks or click Re-Pick if you need to make changes.
4. That PO goes to Shipped
Suite:
1. Sync
2. Go to Purchases > Open Orders. That PO updates to “Shipped”
3. Click on Packing Slips. Select the packing slip on the left.
4. Click on Receive All and Apply to Inventory
5. Updates inventory and removes the PO
6. Sync
Manager:
1. The Shipped entry will be removed automatically the next time Suite syncs
The Purchase Order cycle is now completed.
Notes:
Regarding Auto Fill: If the Reserved values do not populate, that means the Manager's Unit qty (on the right side) are below the requested values, so you will need to either update Manager's inventory or manually edit the PO's RSVD values.
Manager's in Warehouse qty updates after clicking the Complete Picks button. If you click on Re-Pick, the inventory will be reset.
Suite has the ability to cancel the order before syncing the order to manager. Suite can also cancel the order as long as Manager has not sent the order to Pick Lists. If Manager pushes the order to Shipped, the next time Suite syncs the order will be added into the Open Orders section along with the Packing Slip. Suite can cancel the order once again or complete it through.
Processing a PO in Manager for Suite
Here are the quick Manager steps:
1. Open the Order Processing section
2. In the Purchase Orders area, open the PO and edit the Rsvd value
3. Click on Generate Picks
4. Click on Picks Lists
5. That order is now under “Waiting to Pick”. Edit the Pckd value and click on Complete Picks
6. That order is now under “Pick Completed”. Click Ship Picks.
7. The next time Suite syncs they will update this order.
Dealing with Inventory/Order Discrepencies
Ex: If Suite orders three items and Manager can only Pick two of those items; if you click Complete Picks a message will popup saying, "This pick list has discrepencies Complete the pick list anyway?"; if you click Yes the entire order will go to Pick Completed. Click on Ship Picks to send to Suite. In Suite, the user may Receive All and Apply to Inventory. This will disregard that unpicked item on the order. The user also has the option edit the Rcvd field to update the inventory. Should the Suite user Update Inventory, they will need to cancel the order afterwards for the remaining item.
Ex: If Suite orders three items and Manager can only Pick two of those items; go ahead and match/Auto Fill for the two items and click Generate Picks. This will leave the third item for a future pick.
